Hardware Asset Management (HAM)

What you can track

• Warranty — start/end, type, provider and a warranty claim URL, with automatic enrichment for Dell devices (by service tag). A nightly sweep re-checks the estate and fills in what it can. Dell is the only live enrichment source today — Lenovo, Apple and Cisco are planned (framework only).

• Lifecycle — end-of-life date, planned refresh date and depreciation period.

• Purchase — purchase date, price, currency, supplier and PO reference.

• Assignment — who a device is assigned to, their department / cost centre / location, with an assign / return workflow (ideal for homeworking).

• Contracts & documents — upload and store warranties, POs, licences and contracts against an asset, with expiry alerts.

Edit any of these on an asset’s ITAM tab. The Hardware list gives a filterable register of all hardware.

Getting data in at scale

Two import paths, both under the ITAM menu:

• Bulk import — download the fixed XLSX template, fill it in, and upload to populate purchase / warranty / lifecycle in one go.

• Procurement import — upload any CSV/XLSX export from your procurement or ERP system (e.g. NetSuite, SAP, Coupa, or a spreadsheet). Map your columns to ITAM fields, choose how rows match assets (asset ID, serial or hostname), dry-run to preview matches, then import. Save the mapping as a named profile so a recurring monthly file imports with one click next time. This is a column-mapping file importer — you work from the file each system exports, not a live/native connector to NetSuite, SAP or Coupa.
